Job Summary: We are seeking a highly organized and detail-orientated Project Coordinator to support our staff and construction field staff on various tasks regarding the coordination and execution of construction projects. The project coordinator will assist in planning, executing, and closing projects while ensuring completion on time and within budget. This position is full-time in the office located in Madison, WI.
Essential Functions:
- Supports the company’s Project Management Team including:
- Facilitates project start up activities.
- Autodesk Build site set up
- Project drawings, files, and related documentation organization
- Assists with creating purchase orders as required.
- Applies for electrical permits on multiple platforms.
- Assists with construction scheduling using Microsoft Project.
- Creates, expedites, and maintains logs for formal construction documents including:
- Shop drawing submittals
- Requests for Information
- Daily Reports
- Change Orders
- Job Specific requests
- Writes subcontracts and collects COI’s, safety prequal certifications and passes onto our customer.
- Updates construction drawings from GC’s platform to Westphal’s internal platform
- Composes and manages project correspondence.
- Develops, implements, and tracks Quality Assurance/Quality Control QA procedures, documents, logs, and issues.
- Creates equipment directories, labels, and tags.
- Prepares project reports for management, clients, or others.
- Expedites job closeout activities including:
- Outstanding shop drawing submittals
- Operation & Maintenance manuals
- Special forms / requirements
- Affidavits
- Warranty letters
- Manufacturer start-up procedures
- Owner training
- Updating historical cost database upon project completion.
- Performs other duties as requested by Foreman or Project Management team.
- Adheres to policies and procedures and helps update and improve them.
- Facilitates project start up activities.
Required Skills/Abilities:
- Ability to multitask and handle interruptions effectively.
- Ability to work under pressure in a fast-paced, changing environment.
Education and Experience:
- 2 – 5 years with construction experience preferred.
- Strong attention to detail and prioritization skills.
- Proficient in MS Office Suite
Physical Requirements:
Must be able to alternate between sitting and standing in a general office environment. Some travel to other offices or job sites may be required.
